Register number, volume and folio
The register number in the top corner is the lot and plan, such as 125/DP412345. The volume and folio is the title number Landgate uses to identify and search the title. Landgate holds the one true copy of each certificate of title in digital form, so what you order is a copy of that record; Landgate can't give you an 'original'.
Duplicate edition and date duplicate issued refer to a paper duplicate title. N/A means no paper duplicate is current. Every search is time-stamped, and the details are correct as at that date and time.
Land description
The legal land description gives the lot and plan. Landgate's plan types are Plan, Deposited Plan, Strata Plan and Survey-Strata Plan. The note 'Lot as described in the land description may be a lot or location' covers older rural land described by location number.
The plan itself isn't on the title. The Warning line says to get a current search of the sketch of the land if you need the position, dimensions or area of the lot. See deposited plans.
First Schedule: owners, address and how they hold it
- Names and address for service of notices: the address can be a PO box or an old address, not necessarily where the owner lives. No phone number or email is shown.
- Tenancy: with more than one owner, the title says whether they are joint tenants (the survivor takes the whole) or tenants in common, with each owner's share.
- Last document affecting ownership: for example (T P123456) REGISTERED 14 FEBRUARY 2022. T is a transfer; the number is the document, and the date is when it was registered.
Second Schedule: limitations, interests, encumbrances and notifications
Each entry starts with its document number, and you can buy each document from Landgate using that number. The common entries are:
- MORTGAGE TO [lender]: a loan secured on the property, removed when a discharge is registered.
- CAVEAT BY [name]: someone has lodged a caveat claiming an interest in the land. It can stop certain dealings, such as a sale, being registered until it is withdrawn, lapses or is removed by court order. See caveats.
- EASEMENT and RESTRICTIVE COVENANT: rights others have over the land, and limits on how it can be used. The document number leads to the wording.
- NOTIFICATION: a notice placed on the title to warn future owners about something affecting the land.
Subject to Dealing, statements and notes
Subject to Dealing appears on the left side of the search when there are active dealings that may change the title, such as a sale or discharge lodged but not yet registered. If you see it, something is in progress.
Statements follow END OF CERTIFICATE OF TITLE: the sketch reference, previous title, street address and local government. Landgate says this information may be useful but is not guaranteed by the State. Notes, where shown, don't form part of the title and can include pending surveys and lapsed caveats with the related s.138D restriction.
What a WA title doesn't show
For Western Australia Title Registry sends Landgate's PDF only, without a summary, because Landgate's terms don't allow derived products. This page is here so you can read it yourself.
- The plan drawing, and the wording of mortgages, caveats, easements or covenants. Landgate sells plans and documents for A$33.90 each (2026-27).
- Contact details for the owner beyond the address for service.
- Past owners and sale history, zoning or council rates.
When to ask for advice
Get advice from a settlement agent, conveyancer or lawyer if the title shows a caveat you don't recognise, Subject to Dealing when you weren't expecting a change, or a covenant or easement where you plan to build. If a mortgage you paid off is still listed, ask your former lender whether the discharge has been lodged; see is my mortgage discharged?
Title Registry orders the WA title for A$89 and emails it, usually within minutes. Landgate's own fee is A$33.90, and you can order there as a guest.
Order a WA titleCommon questions
What is a Record of Certificate of Title?
Landgate's current title search: the official record of who owns the land and what is registered against it, at the date and time stamped on it.
What does 'Subject to Dealing' mean on a WA title?
There are active dealings lodged on the title that may change it, such as a transfer or discharge of mortgage not yet registered. Landgate prints it on the left side of the search.
Does a WA title show the owner's address?
Yes. The First Schedule includes an address for service of notices, which may be a PO box or out of date. No phone number or email is shown.
What does 'caveat by' mean on my title?
Someone has lodged a caveat claiming an interest in the land. It can stop some dealings being registered until it is withdrawn, lapses or is removed, so get legal advice if you don't recognise it.
Why does my WA title still show a mortgage I paid off?
The mortgage stays until a discharge is lodged and registered at Landgate. Ask your former lender whether it has lodged the discharge.
Are the statements on a WA title guaranteed?
No. Landgate says the statements section is additional information that may be useful but is not guaranteed by the State.
Can I get my original certificate of title from Landgate?
No. Landgate keeps the one true copy of each title in digital form and supplies copies of that record.
